IBA-Approved Packers and Movers: What to Check Before Booking
Published 12 October 2026 · DZ Cargo moving guide
If your employer asks you to use IBA-approved packers and movers, a badge on a website should be the start of your checks. You also need to confirm the operator's current listing, the business issuing your quotation and the documents required for reimbursement.
Use the steps below before paying an advance. Keep the quote, verification details and booking records together so you can refer to them throughout the move.
1. Check the current IBA record
Start at the Indian Banks' Association website. Its Supplementary Services section links to Recommended Transport Operators (List). Use that official route rather than relying only on a copied list or a screenshot supplied by a salesperson.
Ask the mover for the exact listed business name and its current recommendation details. Compare these with the official record, including the operator reference and validity information where displayed. If the official search is unavailable, seek confirmation through IBA's published contact route or your employer's relocation desk before treating an old copy as current.
Your employer may have its own reimbursement conditions. Ask HR or the relevant bank department what evidence it accepts and whether the proposed mover meets those conditions.
An IBA listing is one verification step. It does not tell you the final price, services included in your move or coverage under an insurance policy.
2. Confirm which business you are booking
Check the legal business name, contact details and GSTIN shown on the quotation. The GST portal's Search Taxpayer guidance explains how to look up a registered taxpayer using its GSTIN or UIN. Compare the returned identity and registration information with the quote.
Contact the company through a number or email you independently obtain from its official website. Ask it to confirm the quotation, the person coordinating your move and the payment instructions. If names or addresses differ, ask for an explanation before proceeding.
Keep a copy of the written response. Avoid relying on the salesperson's message alone when confirming a changed bank account or payment request.
3. Compare written quotes for the same move
Give every mover the same item list, pickup and destination details, floors, lift availability and preferred date. Mention large furniture, fragile items and any access restrictions.
Use this checklist when reading the estimate:
| Question | What to confirm |
|---|---|
| What is moving? | Inventory or an agreed description of the load |
| What is included? | Packing, loading, transport, unloading and any unpacking or reassembly |
| When will it move? | Pickup date and proposed delivery schedule |
| What might cost extra? | Waiting, stairs, carrying distance, additional items or changed access |
| How is payment handled? | Advance, balance, taxes and receipts |
| What if plans change? | Cancellation and rescheduling terms |
| What happens if goods are damaged? | Reporting contacts, process and relevant agreement or policy terms |
Separate the services you need from optional additions. Ask for missing inclusions or unclear charges to be clarified in writing.
4. Read the actual insurance documents
If a quotation says “insurance included,” ask what document supports that statement. Confirm the insurer, insured goods, declared value, covered journey and applicable policy terms.
A carrier's liability cover and a policy covering your goods address different risks. New India Assurance publishes a carrier legal liability product separately from its inland transit policy wording. Read the documents proposed for your booking rather than assuming those examples describe your cover.
Before agreeing, ask whether packing, loading, unloading and any storage period fall within the proposed cover. Also check exclusions, excess or deductible, valuation basis and claim notification requirements. The policy terms determine those answers.
Keep photographs and an inventory of valuable or fragile belongings. Confirm whom you must notify if you notice loss or damage; telling the mover may not complete the insurer's notification process.
5. Keep the move documents accessible
Before pickup, keep copies of:
- The accepted quotation and booking confirmation.
- The agreed inventory and services.
- Advance-payment receipts.
- Any insurance certificate, schedule and applicable wording.
- The mover's coordination and escalation contacts.
- Permissions needed at your building.
At pickup, obtain the shipment or consignment reference and an agreed record of cartons or items handed over. Carry important personal documents yourself rather than packing them in the shipment.
On delivery, count packages against that record. Note visible damage or shortages with the relevant item or carton number and take photographs. Record exceptions on the delivery paperwork and raise them promptly through the agreed process.
Keep the final invoice, delivery record and payment receipts. If your employer will reimburse the move, check its document requirements before booking so you can request the right records from the start.
Questions worth asking before you pay
- What exact name and reference should I check in the current IBA record?
- Does that business match the quotation and payment recipient?
- What services and possible additional charges are written into this quote?
- Which insurance documents apply to my belongings and this journey?
- What documents will I receive at pickup and delivery?
Clear answers make it easier to compare movers and resolve misunderstandings before move day.
