A hotel move is easier to manage when each room and department has a clear inventory. Furniture, linen, office equipment and shared-area items may need to travel in different stages. Explain whether you are relocating the whole property, selected rooms or goods during a refurbishment.
Give each room or department a reference and list its furniture, cartons and equipment. Identify repeated items, fragile fittings and anything needing dismantling.
Separate guest property, records and items that must remain in use. Your staff should decide what is moving and approve the inventory before packing begins.
Group furniture, equipment, linen, supplies and decorative items by room, floor or department.
Discuss working hours, loading access and any areas that must remain available during the move.
Agree packing, handling, transport and destination placement requirements before booking.
Coordinate the agreed services using the room or department groups established in the plan.
Check delivered items and direct their agreed placement. Discuss technical setup or utility work separately.
Confirm the services, responsibilities and proposed arrangements in your quotation before booking.
Discuss Your RequirementsShare the working areas that must remain accessible and the hours available for moving. Discuss service lifts, loading bays and access for larger furniture.
If the move is phased, agree the order of rooms or departments and identify the person who can approve each handover. Avoid relying on a single general pickup time for several separate stages.
Kitchen equipment, electrical installations and fitted furniture can need specialist disconnection or installation. Identify those tasks and coordinate the relevant contractors before the moving date.
For business assets beyond a hotel inventory, see corporate relocation. If items need temporary space during refurbishment, discuss storage.
Use room labels and destination plans so goods reach the correct location. Check access and storage space at the receiving property before delivery.
Review the room-wise inventory at handover and clarify any unpacking or reassembly support required. Record changes to the scope when rooms or dates change.

Explain the room groups and operational requirements. The team can discuss availability and a schedule for the proposed stages.
Confirm this separately. Transporting equipment does not automatically cover electrical, plumbing or specialist installation.
Use room or department references and an inventory that identifies quantities and destination locations.
