IBA-Approved Moving, With Your Claim Documents in Order
A transfer order gives you a new reporting location. Your move still needs a clear inventory, an agreed quotation and a document trail from collection to delivery. DZ Cargo offers IBA-approved moving services; use this checklist to discuss the records your employer needs before you book.
Agree the paperwork before pickup
Tell the coordinator that this is a bank or PSU transfer when you request an estimate. Share your origin, destination, item list, floor and lift access, proposed date and any vehicle to be moved. Ask HR or your transfer desk which name must appear on the bill, whether prior sanction or comparative quotations are needed, and which originals you must submit.
Keep the quoted business identity consistent across the booking, invoice and receipts. A change in the payment recipient or operator name deserves a written explanation before payment. The step-by-step IBA mover verification guide explains these checks in more detail.
Check the current operator record
Start with the Indian Banks' Association website and its “Recommended Transport Operators (List)” link under Supplementary Services. Match the exact business name, operator code or reference and validity details with the quotation. Ask DZ Cargo for its current verification particulars rather than relying on a badge or an old screenshot.
Confirm your employer's conditions
Your bank or PSU sets its own entitlement, approval route, submission deadline and document requirements. Confirm the proposed mover and the required bill format with the responsible department. An IBA recommendation is an operator check; it does not fix a moving price or guarantee reimbursement.
2026 Bank & PSU Officer Transfer Claim Document Checklist
Use the table as a preparation checklist, then check it against your employer's current circular. Some records come from your employer, some from the mover and others from the insurer. Request them at the appropriate stage so missing details can be corrected while the move is still being coordinated.
| Document | When / from whom | What to check and retain |
|---|---|---|
| Transfer order & employer approval | Before booking · your HR or transfer desk | Keep the posting order and any written sanction. Confirm the eligible route, load or vehicle limits, advance approval, required quotations and claim deadline. Use your employer's current rules for these details. |
| IBA code / operator verification | Before accepting the quote · official IBA record and the mover | Compare the listed operator name, code or reference, recommendation validity and applicable scope with the business issuing the quotation. Save a dated verification record. If the official search is unavailable, ask your employer how it wants the check completed. |
| Written quotation & agreed inventory | Before pickup · the moving company | Record the goods, pickup and delivery points, floors, packing, loading, transport and unloading scope. Identify tax treatment, insurance arrangements, possible additional charges, payment stages and the proposed delivery window. Keep the accepted version. |
| Consignment note / bilty | At collection · the transport operator | Check the shipment reference and date, consignor and consignee, origin and destination, description of goods and carton or item count. Confirm the carrier and vehicle details recorded for your booking and retain your copy with the inventory. |
| GST invoice | For the billed moving service · the supplier | Check the supplier's legal name and GSTIN, invoice number and date, correct recipient details, service description, taxable amount and applicable tax or reverse-charge particulars. Ask the supplier to explain the treatment used; do not assume every move has the same GST rate. |
| Money receipt & payment proof | For each advance and balance payment · the payee | Keep a receipt showing the business name, date, amount and booking or invoice reference. Match it to the bank or UPI transaction record and check that the final receipt reconciles the balance. An invoice alone is not proof that it has been paid. |
| Insurance papers, where arranged | Before transit · the insurer or authorised provider | Retain the policy or certificate, declared goods value, covered journey, schedule, exclusions and claim contacts. Ask whether the proposed cover includes the handling or storage you have booked. Keep condition photographs and an inventory separately. |
| Delivery acknowledgement / POD | At delivery · you and the delivery team | Count packages against the collection record. Record the date and any visible shortage or damage against the relevant item before signing. Keep the signed acknowledgement and photographs, and follow the agreed notification procedure promptly. |
| Final employer claim pack | After delivery · submitted to your employer | Arrange the employer's claim form, approvals, accepted quote, verification record, consignment note, invoice, receipts and POD in one file. Attach insurance or vehicle papers only where relevant. Retain a copy and obtain a submission acknowledgement. |

Plan the collection point and the receiving address
Open your local guide for building access and pickup preparation, or use a route guide when the transfer is between cities. Confirm society permissions, lift slots, vehicle entry and the person receiving the load at the new address before agreeing the schedule.

Bank transfer moving questions
Does an IBA recommendation guarantee my transfer reimbursement?
No. Your bank or PSU decides eligibility, limits, required approvals and document formats under its own policy. Confirm these before booking, even when the transport operator has a current IBA recommendation.
What is the difference between a consignment note and a payment receipt?
A consignment note or bilty records the goods accepted for transport and the shipment reference. A money receipt records payment. Keep both with the invoice and delivery acknowledgement; one does not replace the other.
How do I check the mover's IBA code?
Use the Recommended Transport Operators list linked from the Indian Banks' Association website. Compare the exact listed operator name, code or reference, and validity details with the company issuing your quotation. Ask your employer for confirmation if the current record cannot be accessed.
